Videoconferencing For Business
Whenever you think of successful video conferencing, you quite possibly conjure up images of smoke filled board rooms where cigar smoking tycoons make and break multi-million dollar business deals. Conversely, in the age of political correctness, the smoke filled rooms have probably given way to large and airy rooms where the aroma of mocha lattes is wafting to the ceiling. Nonetheless, video conferencing is almost always associated with business deals. Yet did you know that there are other uses that business may make of video conferencing and its associated technologies?
For example, did you know that nowadays businesses have caught on to the fact that to encourage company wide participation in promotions and new produce launches, video conferencing has begun to replace the managers only or supervisors only board meetings? Considering that everyone is supposed to have a stake in the launch of a new product, a business has to make every effort to get everyone on board. At the same time, if there are departmental problems or anticipated pitfalls, they need to be discovered and fixed before they become customer service nightmares. In order to give every employee a chance to be heard and a chance to participate, and subsequently buy into the new company’s offering, an intra business videoconference will permit all employees to attend. They do not have to take time away from their busy deadline driven schedules to attend a meeting at a far away location but instead can simply tune in at the local conference or break room. In addition to the foregoing, they will be able to remain in their environment with which they are comfortable and this factor alone may make them feel more comfortable with speaking up.
At the same time, all the supervisors and managers who need to be on board with the company’s new direction will be able to attend the same meeting, even if the offices are far apart or the other branches of the company are located halfway across the country. This is possible without having to spend a lot of money on airfare, accommodations, local transportation, and meals. After all, any time that a company’s employee needs to travel, there is usually the cost of airfare, which can be rather substantial, no matter how good a deal the company may be able to work out with a local travel agency or airline. Adding to this the cost of the local transportation that will be incurred once the employee actually lands at the target destination, the expense of car rental and additional insurance may also be rather substantial. Accommodations include the hotel stay, and meal expenditures obviously cover three meals a day. Just imagine how much money a company can save by allowing its employees to attend videoconferences instead of actual meetings. Thus, rather than making a large number of individuals flock to one location for a meeting, a video conference can be held in the comfort of the employees’ home offices. There is no need to take time away from the office, leave in the midst of business dealings, encounter possible reasons why someone cannot attend, or spend money that can be saved and put to better use. Did you know that in addition to the obvious savings on travel peripherals, there are also savings that cannot be that easily seen? It is true! Considering that in order to plan, organize for, and execute a successful business trip there must be a lot of administrative work behind the scenes, it is only obvious that doing away with such a trip will save the time in takes to organize it and therefore also the expense of paying an employee to do all this administrative work. The time and money may be spent on another project or perhaps even where it counts the most: serving the customer!
As you can see, intra-business video conferencing is an up and coming method of improving communication within a business. Since it saves a lot of time of valuable employees, as well as key personnel, production and customer service are least impacted. The money that is saved on travel expenses and related peripheral expenditures may now be spent on purchasing and upgrading video conferencing equipment. Because the technology is always available, interaction between the branches of a business will be more frequent and also will include so many more individuals. All in all, video conferencing for business is a win-win proposal!
